Organizational Context
The UNOPS Sustainable Development Cluster supports peacebuilding, humanitarian, and development operations globally. This role supports the UNODC-implemented 'Protegendo Futuros' project in Brazil, funded by the European Union. The project aims to strengthen national and local capacities to prevent and respond to violence against children affected by organized crime, aligning with national priorities and SDG 16.
Job Purpose
The Project Support Assistant will provide crucial administrative and logistical support for the 'Protegendo Futuros' project. This involves assisting with project documentation processing, logistical arrangements for meetings and events, procurement requests, and reporting tasks. The role ensures adherence to established rules, regulations, and Standard Operating Procedures (SOPs). By maintaining project tracking tools, supporting report preparation, and ensuring proper document archiving, the assistant contributes to the project's effective planning, implementation, monitoring, and reporting, ultimately supporting the project's objectives in preventing and responding to violence against children.
Responsibilities
Provide comprehensive administrative support for project planning, implementation, monitoring, and reporting, adhering to all applicable rules and SOPs. Maintain project tracking tools for deliverables, contracts, travel, workshops, and grants. Assist in preparing and formatting reports, briefing materials, presentations, and meeting minutes. Ensure proper archiving and organization of all project documentation, both electronic and physical. Participate in team meetings and provide updates on assigned tasks.
Facilitate logistical arrangements for meetings, workshops, conferences, and events, including travel and accommodation. Process travel authorizations and related documentation for staff and partners. Liaise with vendors and participants on logistical matters and follow up on routine arrangements. Coordinate with subject matter experts and project team members on activity organization.
Compile and verify supporting documentation for payments and contract administration. Maintain spreadsheets for tracking purchases and payments. Support the maintenance of records for purchases and administrative transactions. Process and track procurement and payment requests.
Assist in organizing training sessions and internal knowledge-sharing activities. Contribute to maintaining shared project files and collaboration platforms.
Work Experience
Required: Relevant experience in project support or similar areas. Proven proficiency with collaboration and productivity tools (e.g., MS Office, G-Suite) and web-based management systems. Desirable: Experience within the UN system, international organizations, or public sector cooperation contexts is a plus.
