Organizational Context
The United Nations Office on Drugs and Crime (UNODC) in Colombia works with states and civil society to prevent drug and crime threats to security, peace, and development. UNOPS, as an operational arm of the UN, supports the implementation of peacebuilding, humanitarian, and development projects globally. This role sits within UNOPS, supporting UNODC's mandate through HR services, specifically within the Sustainable Development Cluster.
Job Purpose
The Project Management Support Associate will support the overall management of Alternative Development Program agreements with implementing partners. This involves ensuring correct administrative and financial execution, tracking commitments, consolidating information in databases and systems, and generating early warnings for decision-making. The role is crucial for strengthening standardized processes, ensuring compliance with institutional guidelines, and enhancing operational efficiency. By contributing to effective implementation and the achievement of strategic objectives, this position directly impacts the program's success in supporting legal productive alternatives for communities affected by illicit crops.
Responsibilities
The Project Management Support Associate will work closely with the Planning and Management Unit to deliver key results. Responsibilities include managing Memoranda of Agreement (MOAs) by supporting risk identification and mitigation for implementing partners, assisting organizations with UNPP portal registration, and managing tools for tracking MOA implementation and PEAS policies. The role involves reviewing and managing formats for new implementing partners and updating MOA-related documents. Administrative and financial duties include submitting MOA requests to Legal Affairs, processing disbursement requests and financial reports to the finance area, and performing financial transactions in UMOJA II. Information management entails supporting the Program Management Assistant in managing databases and systems, uploading and managing documents in GESTIONA, and generating status reports. The associate will also contribute to designing and implementing tools for process standardization, support interdisciplinary teams in document review, and assist in consolidating MOA closure documents. Coordination support includes logistics for meetings and workshops, preparing minutes, organizing and updating files, and ensuring timely delivery of information to support areas.
Work Experience
Required experience includes project management, operational, or administrative activities with international cooperation organizations and government entities, focusing on MOA administration and monitoring, risk management, database handling, and process improvement. Desired experience includes proficiency with Microsoft Office Suite (Word, Excel, PowerPoint).
