Organizational Context
The United Nations Office on Drugs and Crime (UNODC) in Mexico, established in 2003, supports member states in combating drugs, crime, corruption, terrorism, and advancing criminal justice. UNODC Mexico provides technical assistance, institutional strengthening, and policy support across various mandates, contributing to evidence-based responses and sustainable solutions for crime and security challenges in Mexico and the region.
Job Purpose
The Administration Assistant supports the implementation of the Access to Labs, Enforcement, Response and Trace (ALERT - MEXAL6) project within UNODC Mexico. Working under direct supervision, this role provides efficient administrative and logistical support to the project, ensuring smooth and timely service delivery. The incumbent collaborates closely with operations teams and project/programme support colleagues, executing assigned tasks with a client-oriented, quality-focused, and results-driven approach to facilitate the project's objectives and operational needs.
Responsibilities
Provide logistical support for project activities, including preparing and distributing materials for workshops, meetings, and missions, and managing arrangements for venues, accommodation, catering, and transportation. Assist with travel processes, including documentation and expense tracking. Support communication with participants, vendors, and service providers. Maintain basic inventories and records of project assets, ensuring secure storage and proper documentation. Offer administrative support for project planning, implementation, monitoring, and reporting. Assist in preparing meeting minutes, project documentation, and routine correspondence. Maintain project files and document management systems. Support procurement processes by preparing requisitions and verifying supporting documentation. Track procurement and payment processes, and provide administrative assistance to project staff and consultants.
Work Experience
Required: Experience in administration, logistics, or operations. Proficiency in collaboration and productivity tools (e.g., MS Office, G-Suite) and web-based management systems. Desirable: Experience in multicultural environments or UN system organizations in developing countries; experience in development or humanitarian action contexts.
