Job Purpose
The Administrative Assistant ensures and may supervise the provision of technical and administrative support for specialized and general processes in administration and logistics. The role aims to guarantee efficient, client-oriented service delivery, prioritizing quality and results while ensuring optimal and economical use of office resources. This position is crucial for supporting field activities, supervision missions, travel coordination, document management, equipment monitoring, procurement support, and liaison with local stakeholders, ensuring the smooth operational functioning of the project team.
Responsibilities
The Administrative Assistant is responsible for coordinating administrative services, guiding staff in executing standard transactions and client services, and ensuring compliance with UNOPS rules and regulations. This includes monitoring team performance, implementing control mechanisms for administrative services, managing inventory and supplies, and reviewing travel authorizations and payment requests. The role also involves transactional duties within the ERP system and compiling data for financial planning and administrative budgets. Additionally, the position oversees logistics and asset management, including shipments, customs clearance, travel, event management, transport, insurance, and facility management. It ensures timely inventory reports, manages protocol services, liaises with local authorities, and supervises transport services and external providers.
Work Experience
Relevant experience in administration, logistics, operations, or related fields is mandatory. Proficiency in collaboration and productivity tools (e.g., MS Office, G-Suite) and web-based management systems is required. Experience working in multicultural environments or within UN system organizations in a developing country, as well as in development or humanitarian aid, is desirable.
