Job Purpose
The primary purpose of this role is to ensure the comprehensive management, administrative control, and oversight of the entire lifecycle of supplier contracts. This involves meticulous tracking, monitoring, and administration of all contractual obligations and processes related to awarded suppliers. The position plays a crucial role in maintaining the integrity and efficiency of procurement operations, ensuring compliance with UN standards, and supporting the successful execution of projects by managing supplier relationships and contract performance effectively.
Responsibilities
The Senior Supply Chain Management Assistant is responsible for managing supplier contracts awarded in procurement processes. Key duties include establishing and maintaining contract and amendment controls for medical supplies and equipment, tracking international acquisition processes, and managing supplier guarantees. The role involves close monitoring of contract status, deliveries, modifications, and payments, issuing timely alerts, and coordinating deliveries. Responsibilities also include reviewing documentation for payment processing, managing contract amendment requests, and providing supplier performance feedback. Maintaining accurate contract tracking matrices, ensuring quality documentation, and updating institutional systems like One UNOPS are essential. The assistant will also facilitate internal and external communication and support project management activities related to suppliers and customer service.
Work Experience
A minimum of five years of experience in administrative or financial support is required, preferably within international organizations or UN agencies. Experience in document management and contract administration (both administrative and financial) is essential. Desirable experience includes administration, accounting, procurement, finance, logistics, monitoring, infrastructure projects, or health sector projects, along with proficiency in office software suites.
