Job Purpose
The Senior Project Management Support Assistant provides essential administrative and coordination support to ensure the effective execution of projects. This role is crucial for the planning, monitoring, reporting, logistics, communication, and document management phases of projects. By ensuring timely and accurate administrative processes, the assistant contributes to the overall efficiency and success of project delivery, aligning with UNOPS standards and objectives. The position plays a key role in facilitating project activities and ensuring that all administrative aspects are handled meticulously, supporting the project team in achieving its goals.
Responsibilities
Provide administrative and coordination support for project planning, implementation, monitoring, and reporting, adhering to UNOPS standards. Assist in tracking project progress, deliverables, contracts, travel, workshops, and grants, ensuring timely follow-up and accurate documentation. Support the preparation of reports, briefing materials, and meeting minutes for management and stakeholders. Maintain tracking tools and ensure operational and project data are up-to-date and properly archived. Participate in team meetings to report on progress and coordination needs. Coordinate logistics for meetings, workshops, and events, including travel and accommodation arrangements. Process travel authorizations, expense claims, and reimbursements. Support procurement processes, including requisitions and payment requests, and verify supporting documentation for compliance. Assist in reviewing tenders, evaluations, and contract administration. Maintain organized documentation for all procurement, financial, and administrative activities. Provide administrative and logistical support to senior management, including scheduling and preparing travel documentation. Support high-level meetings and donor interactions, including minute-taking. Assist in organizing training sessions and knowledge-sharing initiatives.
Work Experience
Required: Minimum of 5 years of relevant experience (with a secondary diploma) or 1 year of relevant experience (with a Bachelor's degree), providing technical assistance in project management. Proficiency in collaboration and productivity tools (e.g., MS Office, G-Suite) and web-based management systems is essential. Desirable: Previous experience within a UN system organization and experience in infrastructure projects.
