Organizational Context
The United Nations Office for Project Services (UNOPS) Asia Pacific Regional Office oversees operations in 17 countries, focusing on infrastructure, health, procurement, and project management. The South Asia Multi-Country Office (SAMCO) supports six countries, including Pakistan, delivering expertise in climate change, WASH, infrastructure, and procurement. Job Purpose
The Administration Associate provides crucial administrative and logistics support to multiple projects within the Support Services Unit. This role ensures efficient, client-focused, and effective service delivery by coordinating with various internal teams (Procurement, ICT, Finance, HR, Partnerships) and external entities. The incumbent will manage administrative processes, maintain accurate records, and support the Administration Officer in ensuring optimal and cost-effective use of office resources. The position plays a key role in facilitating smooth project operations and contributing to the overall success of UNOPS's mission in Pakistan.
Responsibilities
Coordinate administrative transactions and processes, ensuring compliance with UNOPS regulations and monitoring team performance and client satisfaction. Implement control mechanisms for administrative services, manage inventory, and review travel documentation. Serve as a transactional role in the ERP system and compile data for financial planning and budget support. Oversee logistics systems, including shipments, customs clearance, travel, event management, and transportation. Manage supply and asset management services, conduct physical inventory verification, and submit periodic reports. Handle protocol services, liaise with local authorities, and compile information for cost-recovery billing. Supervise transportation services, ensuring maintenance, insurance, and fuel monitoring, and report any vehicle incidents. Oversee external transportation contractors and process invoices. Support training initiatives on administrative and logistics topics and participate in knowledge-sharing activities.
Work Experience
Required: Experience in administration, logistics, or operations. Proficiency in collaboration and productivity tools (e.g., MS Office, G-Suite) and web-based management systems. Desired: Experience in multicultural environments, UN system organizations, developing countries, or development/humanitarian contexts.
