Organizational Context
The UNOPS Asia Pacific Regional Office, based in Bangkok, provides strategic leadership for operations across 17 countries. It ensures high performance and alignment with organizational goals, supporting diverse sectors like infrastructure, health, and project management. The East Asia and Pacific Multi-Country Office (EAPMCO) specifically supports 24 countries, focusing on energy transition, climate change, and sustainable development initiatives.
Job Purpose
The Administration Intern at the Southeast Asia Energy Transition Partnership (ETP) plays a crucial role in enhancing fund management capacity. Working under the direct supervision of the Senior Fund Manager and in close coordination with the Programme Management Senior Officer, the intern will support various activities essential for the program's financial operations. This role offers a blend of supportive tasks and assignments with significant responsibility, providing valuable experience in a dynamic international development setting. The intern's contributions are vital for the smooth and efficient functioning of the ETP program, directly impacting its ability to achieve its objectives in promoting sustainable energy systems across the region.
Responsibilities
The Administration Intern will provide comprehensive administrative support, including organizing virtual and in-person meetings, preparing documentation, and tracking action points. Responsibilities extend to managing travel arrangements for staff, ensuring timely processing and proper documentation. The intern will also assist with procurement and contract management tasks, as well as processing project payment transactions by preparing and uploading necessary files. A key duty involves supporting the preparation and organization of ETP Steering Committee meetings. Additionally, the intern will collect and synthesize data for program documents and reports, maintain accurate program records on shared drives, and ensure compliance with ETP operating manuals and guidelines. Fostering effective working relationships with internal UNOPS offices and performing other assigned duties are also integral to the role.
Work Experience
While not strictly required, some professional experience in Administration or International Development is desirable. The role benefits from the ability to manage multiple tasks and priorities in a fast-paced environment with minimal supervision. Experience working effectively in a multicultural, international setting and strong proficiency in MS Office Suite (Word, PowerPoint, Excel) or Google suite applications are preferred.
