Organizational Context
The United Nations Office on Drugs and Crime (UNODC) in Mexico, established in 1997, works with the Mexican government to combat illicit drugs, crime, and terrorism. As an operational arm of the UN, UNOPS supports UNODC's mandate through various services. This role supports the UNODC Country Office for Mexico and Central America, contributing to the region's strategic objectives.
Job Purpose
The Administrative Assistant provides essential logistical and transportation support to the operational unit, ensuring timely and seamless service delivery. This role is crucial for the smooth functioning of the office and the effective execution of projects and programs. By collaborating closely with colleagues across various units, the Administrative Assistant contributes to operational efficiency and client-focused service delivery. The position requires a proactive approach to managing administrative tasks, maintaining assets, coordinating transportation, and supporting logistical needs for meetings and events, all while adhering to UNOPS and UNODC policies and procedures.
Responsibilities
Manage and maintain office assets, including equipment and supplies, ensuring proper storage, handling, and inventory tracking. Process timely procurement of office supplies and support efficient customs clearance procedures for incoming goods. Oversee the reception of goods and equipment, including inspection and reporting. Ensure the proper maintenance, servicing, and repair of all office vehicles to guarantee optimal performance and safety, maintaining daily records of fuel consumption and mileage. Coordinate all official transportation needs for staff, including necessary security arrangements. Implement effective repair and maintenance systems for office equipment and manage building maintenance activities. Evaluate contracted services to enhance service levels and identify potential improvements. Actively participate in training initiatives related to logistics and transportation, contributing to knowledge sharing within the organization.
Work Experience
Required: Experience in administration, logistics, or operations. Proficiency in using collaboration and productivity tools (e.g., MS Office, G-Suite) and web-based management systems. Desired: Experience in multicultural environments or UN system organizations in a developing country; experience in humanitarian or development contexts.
