Job Purpose
The Support Services Senior Assistant plays a crucial role in ensuring the efficient and effective delivery of administrative, logistics, procurement, and operational support services within the UNOPS Tashkent Office. This position is vital for the smooth functioning of daily office operations, contributing directly to the successful implementation of UNOPS projects in Uzbekistan. By providing accurate and timely support, the incumbent facilitates seamless administrative processes, manages logistical arrangements, assists with procurement activities, and handles protocol matters, all while adhering strictly to UNOPS regulations and procedures. The role ensures that personnel and stakeholders receive high-quality service, enabling UNOPS to achieve its mandate in the region.
Responsibilities
The Support Services Senior Assistant provides comprehensive administrative and operational support, coordinating routine office processes and client services to ensure efficiency. This includes maintaining accurate administrative records, managing inventory and assets, and processing travel requests and related transactions in compliance with established procedures. The role involves providing transactional and data entry support within UNOPS systems and responding to general administrative inquiries. Logistical duties encompass processing travel claims, organizing shipments and customs clearance, preparing necessary documentation, and coordinating airport pickups and hospitality for visitors. The assistant also supervises transportation services, monitors vehicle maintenance, and processes related invoices. In procurement, responsibilities include processing purchase orders, supporting procurement activities for goods and services, and assisting with contract administration and vendor coordination. Furthermore, the role involves conducting inventory checks, managing office supplies, and reporting on office maintenance needs and client satisfaction.
Work Experience
A minimum of 3-5 years of relevant work experience in administration, logistics, operations, or related fields is required. Proficiency in using collaboration and productivity tools (e.g., G-Suite) and web-based management systems is essential. Experience in multicultural environments or within UN system organizations in a developing country is desirable.
