Project Management Support - Senior Assistant
Organizational Context
The UNOPS Europe and Central Asia Regional Office (ECR) manages operations across a wide region, supporting sustainable development through projects in health, education, infrastructure, and governance. The South East Europe Multi-Country Office (SEEMCO), based in Belgrade, implements projects in Serbia, North Macedonia, Montenegro, and Bosnia and Herzegovina, partnering with national institutions and donors to advance the Sustainable Development Goals and EU integration.
Job Purpose
The Project Management Support Senior Assistant plays a crucial role in ensuring the effective and timely delivery of projects by providing comprehensive administrative and coordination support. This position is integral to the successful execution of project activities, encompassing planning, monitoring, reporting, logistics, and documentation. By managing essential administrative tasks and facilitating smooth operations, the role directly contributes to the achievement of project objectives and the overall mandate of the EU INTEGRA programme, supporting Serbia's governance and socio-economic development through integrated territorial development approaches.
Responsibilities
Provide administrative and coordination support for project planning, implementation, monitoring, and reporting, adhering to UNOPS rules and SOPs. Track project progress, deliverables, contracts, travel, and grants, ensuring accurate documentation and timely follow-up. Support the preparation of reports, briefing materials, and meeting notes. Maintain and update project and operational data in tracking tools and ensure proper archiving. Coordinate logistics for meetings, workshops, and events, including travel, accommodation, and catering. Process travel authorizations and expense claims. Support procurement processes by preparing requisitions and purchase orders in the ERP system. Verify supporting documentation for accuracy and compliance. Assist in tender reviews and contract administration. Maintain organized documentation of procurement, financial, and administrative activities. Provide administrative and logistical support to senior management, including scheduling and mission planning. Support the organization of training sessions and participate in knowledge-sharing initiatives.
Work Experience
Required experience includes work in project management or related areas, and demonstrable proficiency in collaboration and productivity tools (e.g., MS Office, G-Suite) and web-based management systems. Experience in multicultural environments, UN system organizations, or in development/humanitarian contexts is desirable.
