Job Purpose
The Administration Clerk will provide essential operational and administrative support for the UNOPS Technical Cooperation Project focused on strengthening educational infrastructure for traditional peoples in Brazil. This role is crucial for the successful implementation of project activities, contributing directly to Outcome 3 of the agreement. The clerk will assist with travel arrangements, document management, scheduling, and communication, ensuring smooth project execution and adherence to UNOPS procedures. By maintaining organized records and facilitating administrative processes, this position helps the project team effectively coordinate with partners and achieve its objectives of improving basic education and infrastructure in indigenous and quilombola communities.
Responsibilities
The Administration Clerk will support project development, coordination, and implementation by assisting with data collection for analysis and monitoring activities. They will provide administrative support for communications, including drafting and organizing official documents, emails, and updating tracking spreadsheets. The role involves supporting the scheduling and authorization of travel, assisting with payment processes, and performing other related tasks as requested. Additionally, the clerk will maintain organized administrative files and databases, support document and process control, and ensure timely document submission. They will actively participate in training and knowledge-sharing initiatives, assist with presentations, and attend project meetings. For national execution projects, adherence to a work plan with specific product deliverables is required, with payments processed only after partner approval.
Work Experience
A minimum of 3 years of experience in administrative support, particularly in project management, is required. Experience with Google Workspace (Docs, Sheets, Gmail, Agenda, etc.) is essential. Experience with national/international execution projects is desirable.
