Organizational Context
The UN Office for the Coordination of Humanitarian Affairs (OCHA) is responsible for coordinating humanitarian actors to ensure effective responses to emergencies. The OCHA office in the Occupied Palestinian Territory (OPT) focuses on information sharing, needs analysis, humanitarian planning, response monitoring, and resource mobilization. This Executive Associate role supports the Head of Office in East Jerusalem, ensuring efficient office functioning, confidentiality, and effective information management.
Job Purpose
The Executive Associate plays a crucial role in ensuring the effective and efficient functioning of the OCHA office in the Occupied Palestinian Territory (OPT). Reporting to the Head of Office, this position involves maintaining confidentiality, managing information flow, and ensuring timely follow-up on commitments. The role requires close collaboration with internal teams, NGOs, UN agencies, and national authorities to facilitate smooth operations, support high-level meetings, and manage communication channels. By providing comprehensive administrative and logistical support, the Executive Associate contributes to the overall coordination and delivery of humanitarian assistance in the region, ensuring that the office operates seamlessly and supports the Head of Office in their strategic objectives.
Responsibilities
The Executive Associate serves as the Personal Assistant to the Head of Office, managing their calendar, arranging appointments, and preparing background materials for meetings. This includes liaising with administration for travel, preparing correspondence, and acting as an interpreter or minute-taker when needed. The role is also responsible for ensuring the efficient functioning of the OCHA office by maintaining protocol procedures, preparing briefing materials, managing mission schedules, and updating contact rosters. Furthermore, the Executive Associate provides effective communication support by maintaining filing systems, coordinating information flow between units and external partners, and organizing donor briefings. They also contribute to knowledge management by supporting training initiatives and participating in relevant networks.
Work Experience
Requires 6 years of progressive administrative or program experience at the national or international level with a High School Diploma, or 3 years of experience with a First University Degree. Experience with computer software packages (MS Word, Excel) and web-based management systems is necessary. Prior experience within the United Nations system is advantageous.
