Information Management Officer (nationals Only)
Organizational Context
This position is located within the UN Office for the Coordination of Humanitarian Affairs (OCHA) in Mali, based in Bamako. The Information Management Officer reports to the Head of Office (HoO) and is part of the Crisis Resilience department, contributing to OCHA's mandate and operational scope in the region.
Job Purpose
The Information Management Officer provides advisory services on document management practices, including needs analysis, operational processes, and the organization and maintenance of UN information assets. The role involves researching and evaluating new IT applications for archives and document management, recommending deployment, and participating in system improvement projects. This includes feasibility studies, system analysis, design, development, implementation, and user assistance. The officer is responsible for developing training materials, conducting user training, and ensuring the preservation and accessibility of information assets, contributing to efficient information management and informed decision-making across the organization.
Responsibilities
Key responsibilities include providing consultative services on document management practices, analyzing needs, and maintaining UN information assets. This involves researching and evaluating new IT applications for archives and document management, and recommending their deployment. The role requires participation in system improvement projects, including feasibility studies, system analysis, design, development, implementation, and user assistance. Developing training materials and conducting staff training on document management systems are also crucial. The officer will manage archival processing, ensure preservation standards, and oversee reference functions, advising users on archive accessibility. Evaluating existing tools, implementing new information management technologies, and maintaining access and declassification standards are essential. Additionally, the role involves contributing to program administration, data collection and analysis for trend identification, supporting needs assessments, managing data collection platforms, producing information products, and managing web content.
Work Experience
A minimum of five years with a Master's degree or seven years with a Bachelor's degree of progressive professional experience in modern archives, document management, library science, or information management is required. Two or more years of experience in data analysis is an asset. Field experience in information management during disaster response or complex emergencies is mandatory. Experience within the humanitarian program cycle is desirable.
