Project Assistant
Organizational Context
The United Nations Industrial Development Organization (UNIDO) promotes inclusive and sustainable industrial development to reduce poverty, hunger, and environmental impact, aligning with the 2030 Agenda and SDGs. UNIDO's mandate is central to SDG-9. The Directorate of Technical Cooperation and Sustainable Industrial Development (TCS) oversees capacity development, industrial policy advice, statistics, research, and normative contributions. The Climate Innovation and Montreal Protocol Division (TCS/CMP) specifically assists Member States in adopting low-carbon technologies and complying with the Montreal Protocol and its Kigali Amendment, supporting climate resilience and greenhouse gas reduction. The Project Assistant will support the Montreal Protocol Unit in planning, developing, and implementing activities for Member States.
Job Purpose
To provide administrative and clerical support in the development and administration of technical cooperation programmes and projects, particularly within the Montreal Protocol Unit, ensuring efficient project implementation and compliance.
Responsibilities
Screen and respond to correspondence and inquiries; draft routine and non-routine correspondence; proofread and edit documents. Assist in preparing papers and presentations by extracting and summarizing data. Initiate and manage project implementation exercises, including budget revisions, obligation reviews, and project completion. Monitor project budget expenditures and provide financial information. Utilize SAP for recruitment, procurement, payments, and travel-related actions. Arrange meetings and events, manage reservations, and follow up on budgets. Maintain filing systems and databases. Perform ad-hoc assignments and research.
Work Experience
Minimum 5 years of relevant professional experience with higher secondary education, or 3 years with a first-level university degree. Required experience includes using Microsoft Office (Outlook, Word, Excel) and internet search engines. Desirable experience includes UN system or multicultural environment office practices, project administration, accounting, finance, and SAP or similar ERP software. Demonstrated ability in financial monitoring, tracking expenditures, preparing financial reports, and ensuring budgetary compliance is required. Experience with AI tools for workflow automation or data analysis is highly desirable.
Skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook), internet research, office procedures, project administration, financial monitoring, budget tracking, SAP or similar ERP systems, and AI tools for operational efficiency.
