This position is within UNIDO ITPO Japan (GLO/ITP/JPN), part of the Division of ITPOs and Institutional Partnerships (GLO/ITP), which facilitates investment, technology transfer, and corporate partnerships to support developing countries in achieving sustainable industrial development.
Job Purpose
To support the 'Industrial cooperation programme in the Global South through technology transfer from Japan' (Project ID 240001). This project aims to foster new business development and employment opportunities in Global South countries by facilitating cooperation between Japanese companies and local partners, providing innovative technological solutions, and promoting technology transfer and skills development. Key outcomes include strengthening value chains, fostering innovation, and establishing industrial infrastructure networks.
Responsibilities
Under the supervision of the Lead Project Manager and Head of ITPO Japan, the Project Assistant provides comprehensive administrative and project support, including: - Managing correspondence, screening communications, and drafting replies. - Assisting in the preparation of project documents, presentations, and background information. - Initiating and monitoring project implementation activities, including budget revisions, expenditure tracking, and financial reporting using SAP. - Processing actions related to recruitment, expert assignments, training, procurement, payments, and travel. - Performing general administrative duties such as organizing meetings, maintaining filing systems, and preparing various administrative requests. - Providing support for onboarding new project personnel and undertaking ad-hoc assignments.
Work Experience
A minimum of 5 years of relevant experience in specialized administrative or operational support functions, including project and programme development and implementation support, is required with a secondary education. This requirement is reduced to 3 years with a first-level university degree. Required experience includes office procedures and practices, preferably within the UN system or a multicultural environment, and proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and internet usage. Experience in procurement and knowledge of Grants Manual/Agreements for technical cooperation projects is an asset. Experience with SAP or similar ERP software is desirable.
