Job Purpose
The Administrative Associate will play a key role in ensuring the smooth day-to-day functioning of office operations and service delivery within UNICEF Sri Lanka. This position offers an opportunity to contribute to a collaborative, inclusive, and well-organized work environment by providing reliable administrative support, effective coordination, and clear communication. The role requires solid and broad-based administrative experience, a strong understanding of organizational workflows, and the ability to work independently with professionalism, attention to detail, and a consistent focus on quality, monitoring, and meeting deadlines. The incumbent will support the Operations Manager in maintaining office safety, security, and emergency preparedness, coordinate administrative support for UN Common Premises, and provide guidance to drivers for efficient transportation services.
Responsibilities
Under the supervision of the Operations Manager, the Administrative Associate provides administrative management support and coordinates administrative and selected specialized tasks, requiring practical knowledge of UNICEF/UN administrative policies, procedures, and systems. Key responsibilities include: Administration section planning and project management; Procurement support; Communications and workflow management; Calendar, meetings, and correspondence management; Event and logistics coordination; Travel and visa processing; Invoice processing; Budget monitoring; Supplies and equipment management; Attendance tracking; Maintaining office safety, security, and emergency preparedness arrangements; Coordinating administrative support activities related to UN Common Premises; Providing leadership, coordination, and guidance to Senior Drivers/Drivers to ensure safe, efficient, and timely transportation services and overall service delivery.
Work Experience
Minimum six years of progressively responsible administrative or clerical work experience is required. Previous experience in planning, organizing, and delivering support services in Admin/Finance/IT/Supply is highly desirable.
