Job Purpose
The Project Associate will provide essential PMO, project, procurement, financial, cost recovery, and operational coordination support to the Digital Impact Division (DID), specifically within the Strategic Enablers pillar. This role is crucial for ensuring the continuity of critical digital operations and supporting the division's mission to harness digital technologies for children's rights. The associate will assist in work planning, project documentation, monitoring, reporting, and end-to-end procurement processes, including contractor recruitment and vendor coordination. This position requires a highly organized and detail-oriented individual to manage competing deadlines and maintain accurate records, ensuring timely and compliant operational processes.
Responsibilities
Provide comprehensive PMO and project support, including assisting with annual planning, individual consultant planning, event coordination, and PCM processes. Support project meetings by preparing agendas, taking minutes, coordinating follow-up actions, and maintaining organized records. Assist in project monitoring and reporting by maintaining trackers, compiling updates from various sources, identifying pending actions, and following up with relevant focal points to ensure progress. Support project-related audit queries by collecting necessary supporting documentation, coordinating responses, and following up on outstanding information to ensure timely resolution. Perform other PMO-related tasks as required during the coverage period to ensure smooth operations. Coordinate end-to-end procurement processes, including initiating requisitions, processing pre-payment approvals, managing purchase orders or contracts, processing payments, and ensuring proper closure and documentation. Liaise with contract managers, Supply Division, GSSC, and other stakeholders to ensure procurement actions are accurate, complete, and processed on time. Coordinate with CM/GSSC for the recruitment of individual contractors, managing documentation, approvals, and administrative steps. Assist contract managers with CRC case submissions and defenses by verifying documentation completeness, confirming pricing alignment, and ensuring procedural compliance. Liaise with UNICC/UNGSC and contract managers on statements of work and service agreements, ensuring operational and procedural requirements are documented and followed up. Coordinate vendor and consultant follow-up regarding onboarding, consultant replacements, invoicing issues, billing estimates, and clarification of Statements of Work. Serve as an operational focal point for various coordination tasks, ensuring efficient communication and resolution of operational issues.
Work Experience
A minimum of six years of relevant administrative and project support experience is required. Experience in procurement, financial processes, and coordination within an international organization or similar environment is highly desirable.
