Job Purpose
The Programme Assistant (G4) will support the Programme Section in UNICEF Venezuela, reporting to the Section Chief. This role is crucial for ensuring effective programme planning and operations, facilitating coordination among technical teams, operations units, and external partners. The position requires cross-sectoral functions and may involve working within specific sector teams (e.g., Health, Education, Child Protection) or on crosscutting initiatives like equity and emergency response. The incumbent will contribute to the overall mission of UNICEF by providing essential support to programme delivery and operational activities, ensuring that children's rights are advanced and their potential is realized, especially in the context of the recent earthquake emergency.
Responsibilities
The Programme Assistant will provide comprehensive programme and project support, including assisting in planning, monitoring, and reporting activities. They will offer administrative and financial support, which may involve budget monitoring, processing payments, and maintaining financial records in accordance with UNICEF procedures. The role includes operations and travel support, such as making travel arrangements for staff and consultants, processing travel claims, and ensuring compliance with travel policies. Additionally, the assistant will provide administrative and logistical support for meetings, workshops, and events, including venue booking, material preparation, and on-site coordination. A key function is knowledge management and communication, which involves organizing and disseminating programme-related information, maintaining databases, and supporting communication efforts. The incumbent will also assist in managing office calendars, coordinating team meetings, and ensuring timely and efficient support for various programme-related tasks, contributing to the smooth functioning of the Programme Section.
Work Experience
Minimum of 4 years of relevant administrative or clerical work experience is required. Experience in managing office calendars and coordinating team meetings is essential. Ability to support budget monitoring and financial activities is necessary.
