Job Purpose
The Executive Associate will provide principal support to the UNICEF Representative, ensuring the efficient and effective functioning of the front office. This role is critical for managing the Representative’s demanding schedule, facilitating seamless communication and information flow within the office and with external stakeholders, and coordinating internal processes. The incumbent will also offer strategic administrative and logistical support for high-level engagements, meetings, and official missions, ensuring that all activities are executed with precision and professionalism. This position requires a proactive approach to anticipate needs, solve problems efficiently, and maintain a high level of confidentiality and discretion, thereby contributing significantly to the Representative's effectiveness and the overall objectives of UNICEF Mozambique.
Responsibilities
Serve as the principal support to the UNICEF Representative, managing the Representative’s agenda, prioritizing requests, and ensuring efficient time management. Facilitate effective communication and information flow between the Representative, staff, government officials, donors, UN agencies, and other partners, acting as a key liaison. Coordinate internal office processes, including document management, record-keeping, and follow-up on action items to ensure timely completion. Provide comprehensive administrative and logistical support for high-level meetings, workshops, and events, including preparation of materials, venue arrangements, and participant coordination. Organize and manage the Representative’s travel arrangements, including complex itineraries, visa applications, and expense reports, ensuring compliance with UNICEF policies. Prepare and edit correspondence, reports, and presentations on behalf of the Representative, ensuring accuracy, clarity, and adherence to UNICEF standards. Maintain a high level of discretion and confidentiality in handling sensitive information and communications. Support the Representative in managing office resources and ensuring the smooth day-to-day operation of the front office. Assist in coordinating the Representative’s participation in external engagements and missions, including background research and briefing preparation. Act as a point of contact for internal and external inquiries, providing professional and timely responses. Support the Representative in fostering positive working relationships with key stakeholders and partners.
Work Experience
A minimum of 6 years of progressive experience in administrative or executive support roles is required. Experience within the UN system or a similar international organization is considered an asset.
