Job Purpose
Under the supervision of the Country Office Operations Manager, the Administrative Associate is responsible for executing a broad variety of procedural and specialized complex administrative tasks for the respective section. This role requires in-depth knowledge of UN/UNICEF administrative procedures, processes, and policies. The incumbent will manage administrative duties, procurement for services, communications and workflow, events and logistics, travel management, invoice processing, and property management and supplies/equipment. This position is crucial for ensuring the smooth and efficient operation of the UNICEF Cuba office, supporting the implementation of the new Country Programme Document (CPD) (2026-2030) and contributing to the overall mission of saving children's lives, defending their rights, and helping them fulfill their potential.
Responsibilities
The Administrative Associate will execute a broad range of administrative and procedural tasks, ensuring compliance with UN/UNICEF policies. Key responsibilities include managing procurement processes for services, facilitating effective communications and workflow within the office, and coordinating events and logistics. The role also involves comprehensive travel management for staff and consultants, including booking flights, accommodation, and processing travel claims. Accurate and timely invoice processing for goods and services is essential. Furthermore, the incumbent will oversee property management, including inventory of supplies and equipment, ensuring proper utilization and maintenance. This position requires a proactive approach to problem-solving and a commitment to supporting the operational needs of the UNICEF Cuba office to achieve its programmatic goals for children and adolescents.
Work Experience
A minimum of six (6) years of progressively responsible administrative or clerical work experience is required, including experience in facilities management, travel management, invoice processing, event organization, and procurement-related activities.
