Job Purpose
The Procurement Services Associate, G-6, will support the Supply Financing Centre (SFC) by processing procurement requests, with a focus on complex projects and initiatives. This role involves analyzing partner needs, accurately processing cost estimates and sales orders, expediting orders and deliveries, and providing comprehensive reporting to meet partner expectations. The associate will coordinate across various UNICEF Business Units (BUs) and other centers, acting as a key operational link for partners. The position requires exercising judgment in all procurement activities, ensuring compliance with UNICEF's rules and regulations, and making recommendations for process improvements. The goal is to ensure the timely and efficient delivery of supplies while managing risks and maintaining strong partner relationships.
Responsibilities
Perform all procurement services activities in strict compliance with UNICEF Financial Rules and Regulations, Supply Division Manual, and other applicable procurement procedures. Lead, manage, and monitor transactions, including Key Accounts and complex Projects for assigned partners, under the guidance of the Procurement Services Manager and in line with procedural requirements. Analyze incoming requests, identify and address potential operational risks, develop and implement risk mitigation strategies, and communicate effectively with partners, country offices, and SD centers to ensure aligned expectations, clarity of specifications, appropriateness of goods, and timely delivery. Co-lead Screening Review Groups as required for assigned projects and initiatives, ensuring the application of relevant tools such as RACI charts and defined roles and responsibilities. Lead coordination and follow-up of transactions for assigned partners across various UNICEF centers. Prepare cost estimates for warehouse items, with a particular focus on complex projects and initiatives, including freight quotes in collaboration with business units and the shipping unit. Prepare sales orders for warehouse items and diligently monitor their progress to ensure that commitments made during cost estimation are met, while strictly adhering to budgetary limits. Expedite purchase orders and deliveries to ensure timely arrival of goods. Transmit all relevant information to partners to facilitate delivery and customs clearance of shipments. Develop, prepare, and provide complex, timely, and regular status/monitoring reports to partners and other UNICEF offices, ensuring clarity and completeness of information.
Work Experience
A minimum of three years of relevant professional experience in procurement, supply chain management, or a related field is required. Experience in international organizations or large-scale supply chain operations is highly desirable.
