Job Purpose
The Programme Assistant (G-5) in Manaus, Brazil, provides crucial support to the Chief Field Office by executing a variety of procedural, administrative, and operational tasks. The incumbent ensures that all activities are carried out in strict adherence to UNICEF's rules and regulations, contributing to the timely and efficient delivery of services and support to children and adolescents. The position plays a key role in managing programme and project support, administrative and financial tasks, operations, travel, and event coordination, while also contributing to knowledge management and communication efforts.
Responsibilities
The Programme Assistant will be responsible for providing comprehensive Programme & Project Support, assisting in the planning, execution, and monitoring of programme activities. This includes maintaining project documentation, tracking progress, and reporting on key indicators. In terms of Administrative & Financial Support, the role involves managing budgets, processing payments, reconciling accounts, and ensuring compliance with financial procedures. Operations and Travel Support will include coordinating travel arrangements for staff and consultants, processing travel claims, and managing logistics for field visits. The position also entails Administrative and Logistics Support and Event Coordination, assisting in the organization of meetings, workshops, and other events, including venue booking, material preparation, and participant communication. Furthermore, the Programme Assistant will contribute to Knowledge Management & Communication by maintaining databases, organizing information, and supporting the dissemination of programme-related materials. A key aspect of the role is also demonstrating Digital Dexterity, utilizing various software and digital tools to enhance efficiency and effectiveness in all assigned tasks.
Work Experience
A minimum of five years of progressively responsible administrative or clerical work experience is required. Experience with SAP systems or ERP is highly desirable. Previous experience with the United Nations or an international organization is an asset.
