Job Purpose
Under the guidance of the Deputy Representative of Operations, the Operations Associate is responsible for executing a broad variety of standardized administrative tasks, as well as administrative tasks relevant to finance and procurement areas requiring thorough knowledge of UNICEF administrative and financial procedures, processes and policies. In this capacity, the need to project the image of a credible and reliable service provider is imperative to quality of process delivery, and the impact of work directly reflects on the overall reputation of the team in terms of responsiveness to client needs and quality of process execution. This role is crucial for ensuring the smooth and efficient functioning of the operations section in Timor-Leste.
Responsibilities
The Operations Associate will be responsible for managing travel arrangements for staff and consultants, including booking flights, accommodation, and processing travel claims. They will also be responsible for invoice processing, ensuring accuracy and timely submission for payment, and providing support with financial control by assisting in budget monitoring and reconciliation. The role includes supporting events and conferences, which may involve logistical arrangements and administrative support. Additionally, the Operations Associate will handle general administrative duties, such as managing correspondence, maintaining records, and providing general office support. A key function is serving as a liaison for the Operations Section and the UNICEF Timor-Leste CO Satellite office, ensuring effective communication and coordination between different units.
Work Experience
At least 6 years of relevant work experience in Administration and any other related fields.
