Job Purpose
UNICEF is a core partner of the Global Polio Eradication Initiative (GPEI), aiming to eradicate polio worldwide. The Programme Assistant, under the guidance of the Programme Specialist, provides essential administrative, procedural, and operational support to the Polio Eradication Programme at Headquarters. This role supports multiple workstreams and teams, including colleagues in Nairobi and New York, ensuring the efficient operation of programme activities. The incumbent plays a crucial role in facilitating the programme's objectives by managing various administrative and operational tasks, contributing directly to the global effort to eliminate polio and protect children's health.
Responsibilities
The Programme Assistant provides comprehensive administrative and office support, including managing correspondence, presentations, research, scheduling meetings, maintaining calendars, taking minutes, and managing records and office supplies. They coordinate travel arrangements, such as authorizations, itineraries, visas, security and medical clearances, accommodation, and transportation, while also providing logistical support for meetings, conferences, and official visits. The role facilitates consultant, vendor, and partner contracting processes, preparing and processing necessary documentation and supporting assessments. Financial and budget support includes processing invoices, maintaining financial records, monitoring commitments and expenditures, and assisting with Annual Work Plan (AWP) budget preparation and monitoring. Programme support involves maintaining programme records and monitoring documents, processing transactions, ensuring coding aligns with AWPs, and supporting programme implementation and financial monitoring. Additionally, the Programme Assistant provides cross-functional support across various programme workstreams and undertakes additional tasks to ensure efficient team operations.
Work Experience
A minimum of five years of progressively responsible administrative or clerical work experience is required.
