Job Purpose
The Executive Specialist plays a crucial strategic, analytical, and coordination role within the Public Partnerships and Resource Mobilization (PPR) Global Director's Office. The incumbent provides essential support to the Global Director by ensuring the effective management of information flows, facilitating robust decision-making processes, and strengthening coordination both within the Division and with external partners. This role is instrumental in translating emerging issues, partnership priorities, and operational developments into timely and effective actions, thereby directly enhancing the Global Director's capacity to lead, influence, and position UNICEF within the broader UN system and the global public partnerships landscape. The position contributes significantly to the strategic direction and operational effectiveness of UNICEF's public partnerships and resource mobilization efforts.
Responsibilities
The Executive Specialist will provide strategic executive coordination for the Global Director's Office, managing priority workflows, overseeing scheduling, and ensuring efficient tracking of key deliverables and correspondence. They will manage information flow to the Director, synthesizing inputs and facilitating timely decision-making, and ensure the quality and follow-up of high-level meetings and briefing materials. The role involves monitoring decisions and action points from senior-level engagements to ensure accountability and implementation. Additionally, the Executive Specialist will lead internal communication and information-sharing processes across PPR to ensure alignment and transparency, and oversee coordination tools for efficient planning and reporting. They will coordinate the preparation and dissemination of divisional updates and follow-up on key decisions. Strengthening systems for collecting and disseminating partner intelligence and engagement history is also a key responsibility. The incumbent will engage with Pillar Directors and Team Leads to ensure timely provision of decision-ready information and maintain systems for tracking donor engagement and divisional priorities. Finally, they will coordinate the preparation of high-quality materials and ensure logistical readiness for high-level engagements and strategic briefings.
Work Experience
A minimum of five years of progressively responsible professional experience in programme coordination, strategic support, partnership management, or a related field, preferably within an international organization or the UN system. Experience supporting senior leadership is highly desirable.
