Job Purpose
The Travel and Finance Assistant (G-5) is responsible for executing a wide range of travel and finance-related tasks for the assigned section(s), requiring a thorough understanding of UNICEF's travel and finance procedures, processes, and policies. The role is crucial in projecting a reliable image as a service provider, directly impacting the team's reputation for responsiveness and quality of execution. This position supports the Operations team in managing increased demand for travel arrangements, daily subsistence allowance (DSA) management, meeting space organization, and catering services, ensuring efficient and effective support for office operations and programmatic activities.
Responsibilities
The Travel and Finance Assistant will be responsible for managing all aspects of travel arrangements for staff and consultants, including booking flights, accommodation, and ground transportation, ensuring compliance with UNICEF travel policies and procedures. This includes processing travel authorizations, preparing travel claims, and reconciling travel expenses. The role also involves processing invoices for goods and services, ensuring accuracy and adherence to financial regulations. Responsibilities include performing accounting functions such as maintaining financial records, assisting with budget monitoring, and preparing financial reports. General administrative duties will include supporting the team with documentation, correspondence, and other operational tasks as needed. The assistant will also be responsible for liaising with travel agencies, vendors, and other stakeholders to ensure smooth operations and timely service delivery. This includes managing DSA, organizing meeting logistics, and ensuring catering services meet requirements. The position requires meticulous attention to detail in handling financial and administrative information, ensuring accuracy and compliance with all relevant policies and procedures.
Work Experience
A minimum of 5 years of administrative or office experience with progressive responsibilities is required. Experience in corporate travel management, financial systems, ERP systems, accounts payable, and budget monitoring is desirable.
