Job Purpose
The Operations Associate supports the sub-national office's sections by carrying out a range of procedural, administrative, and operational tasks. This role is crucial in helping to develop, implement, and monitor the country programme, ensuring timely and effective delivery that is consistent with UNICEF rules and regulations. The associate works under the close supervision and guidance of a supervisor, contributing to the overall efficiency and success of the office's operations and programme execution. This position is key to ensuring that the office functions smoothly and achieves its objectives in serving children and communities.
Responsibilities
Support the sub-national office's sections in carrying out procedural, administrative, and operational tasks. Assist in the development, implementation, and monitoring of the country programme. Ensure timely and effective delivery of services in accordance with UNICEF rules and regulations. Provide administrative support to the supervisor and other team members. Manage office supplies, equipment, and resources efficiently. Maintain accurate records and documentation for operational and programmatic activities. Coordinate logistics for meetings, workshops, and travel arrangements. Process financial transactions and maintain financial records as required. Assist in preparing reports and presentations. Ensure compliance with UNICEF policies and procedures in all operational activities. Contribute to a positive and collaborative working environment. Support the implementation of office management best practices. Liaise with internal and external stakeholders as needed. Assist in the procurement of goods and services. Ensure the smooth functioning of office operations to support programme delivery.
Work Experience
A minimum of six years of progressively responsible administrative or clerical work experience is required.
Skills
Thorough knowledge of UNICEF operation policies and procedures, Strong organizational, planning and prioritizing skills, High sense of confidentiality, initiative and good judgment, Ability to work effectively with people of different national and cultural backgrounds, Proficiency in MS Word, Excel, PowerPoint, Experience with UNICEF software (e.g., SharePoint), Strong office management skills, Ability to drive results, Ability to work collaboratively, Ethical awareness
