Job Purpose
This position is responsible for the overall administrative activities supporting the Ecosystem Engagement team within UNICEF's private sector ecosystem. The role will provide crucial support to the Communication Manager and Knowledge Management Specialist in executing communication functions and managing project delivery. Key accountabilities include effective management of the team’s budget, overseeing all administrative tasks, and ensuring smooth operations. The Communication Assistant will play a vital role in coordinating internal communication and engagement strategies, utilizing channels like the Pulse Newsletter, intranet, and staff meetings to reach the right audiences with relevant content, thereby contributing to the strategic objectives of leadership at PFP.
Responsibilities
The Communication Assistant will manage the team’s budget effectively, including monitoring utilization and ensuring compliance with financial rules and regulations, such as grants tracking and expenditure monitoring. This role involves extensive administrative work, including procurement processes, travel arrangements, and invoice processing. A significant part of the responsibility includes supporting internal communication efforts and project management, contributing to the coordination of communication throughout the ecosystem. The assistant will also be involved in knowledge management activities, including supporting events and webinars. Maintaining repositories, intranet pages, and collaboration platforms, along with uploading and documenting content, is also a key responsibility. The role requires proven experience in organizing meetings, preparing agendas and materials, and supporting webinars or knowledge-sharing sessions. Attendance tracking and other administrative duties as assigned will also be part of the daily tasks, ensuring the smooth functioning of the Ecosystem Engagement team.
Work Experience
A minimum of five years of relevant administrative or clerical work experience is required. Experience maintaining repositories, intranet pages, or collaboration platforms and uploading/documenting content is necessary. Proven experience organizing meetings, preparing agendas/materials, and supporting webinars or knowledge-sharing sessions is required. Hands-on experience supporting budget preparation, monitoring utilization, and ensuring compliance with rules is also required.
