Job Purpose

As Executive Associate to the UNICEF Malawi Representative, you will play a central role in driving seamless operations, managing stakeholder relations, and providing high-level administrative support to the Representative’s Office. Your work will ensure that leadership priorities are effectively coordinated and executed. This position is central to enabling leadership visibility and effective stakeholder engagement, ensuring the Representative can focus on strategic priorities. You will represent the office in communications, manage sensitive correspondence, and provide seamless administrative support and operations support. Key accountabilities also include budget monitoring and procurement support to ensure compliance and efficiency. With strong project management skills, you will plan, track, and coordinate resources to keep initiatives on course. Your digital dexterity will be vital in leveraging UNICEF systems and AI-powered tools to streamline workflows and generate actionable insights. By combining organizational acumen, stakeholder relations, and leadership support, you will help drive the smooth functioning of the office and advance UNICEF’s mission for every child.
Responsibilities
The Executive Associate will provide high-level administrative and operational support to the UNICEF Malawi Representative. This includes managing the Representative's schedule, coordinating meetings, preparing correspondence, and acting as a liaison with internal and external stakeholders. The role involves supporting strategic initiatives by tracking progress, managing project timelines, and ensuring timely delivery of outputs. Key responsibilities include budget monitoring, assisting with procurement processes, and ensuring compliance with UNICEF regulations and procedures. The Executive Associate will also be responsible for managing information flow, maintaining records, and preparing reports. Furthermore, the position requires leveraging digital tools and AI to enhance efficiency and generate insights for operational improvements. This role is crucial in facilitating effective communication, stakeholder engagement, and the overall smooth functioning of the Representative's office, thereby contributing to the achievement of UNICEF's mission in Malawi.
Work Experience
Minimum of 6 years of relevant experience in administrative or operational support roles, preferably within a UN or international organization context. Experience in managing complex schedules, stakeholder relations, and supporting leadership is essential.
