Job Purpose
Under the general supervision of the Shipping Specialist, the Logistics Assistant ensures the timely and cost-effective delivery of supplies to UNICEF-assisted programs and Procurement Service Customers. This role contributes to maintaining compliance with international and regulatory standards in supply chain operations, particularly for regulated products like medicines. The assistant is responsible for adhering to mandatory training and internal procedures to uphold product safety and quality throughout the supply chain, ensuring efficient and compliant logistics operations.
Responsibilities
The Logistics Assistant is responsible for the timely and cost-effective execution of UNICEF shipments. This involves liaising with forwarding agents to arrange consolidation and dispatch of shipments, considering program priorities, warehouse capacity, purchase order delivery dates, and special requests. The role includes following up on late deliveries and expediting reports from Freight Forwarders. The assistant validates all shipping documents, including bills of lading, airway bills, and packing lists, and updates relevant FLS data fields, distributing Shipping Reports/Government Receipts to Field Offices. Responsibilities also encompass analyzing and verifying invoices for freight and associated charges, maintaining and updating the Ship-to-Party portion of the Customer Master in FLS, and providing Field Offices and other Supply Division centers with freight estimates and quotations for correct budget allocation. Guidance and advice on shipping matters such as packing, containerization, mode of shipment, and routings are provided to ensure correct purchase order instructions and cost-effective delivery. The assistant investigates new routings, maintains freight tariffs, and provides backup for team members, performing other duties as requested by the Supervisor.
Work Experience
At least 5 years of relevant work experience in a similar function or in administrative jobs encompassing shipping out goods.
