Job Purpose
The Programme Assistant (G5) reports to the Chief Field Office and provides crucial cross-sectoral support for programme planning and operations in Gaza. This role ensures seamless coordination between technical teams, operations, and external partners. The incumbent will facilitate the effective implementation, monitoring, and delivery of programme results by executing tasks in line with UNICEF rules and regulations. This position may focus on specific sectors like Health, Education, or Child Protection, or on crosscutting initiatives such as equity and emergency response, contributing directly to achieving organizational priorities and supporting the well-being of children and communities.
Responsibilities
The Programme Assistant provides comprehensive administrative, operational, and procedural support to the programme section. Key duties include supporting the preparation and monitoring of annual work plans, ensuring alignment with organizational priorities and accurate SAP transactions. The role involves tracking expenditures, processing amendments, and assisting in drafting programme reports and performance indicators. The incumbent will liaise with programme and operations colleagues to resolve issues and facilitate the processing of contracts for consultants, vendors, and partnerships. Administrative support extends to managing office calendars, drafting meeting minutes, maintaining records, and updating tracking systems for staff leave and events. Financial support includes preparing documentation for monitoring, processing invoices, and managing asset records through physical verifications and procurement requests. The role also involves updating partner databases and consultant rosters. Operational support includes assisting with travel arrangements, procurement of supplies, and office equipment management. Furthermore, the Programme Assistant provides logistical support for training sessions, workshops, and conferences, including vendor coordination and communication. Knowledge management involves maintaining organized document repositories and supporting staff in accessing resources. Digital dexterity is essential, utilizing AI and data visualization tools, maintaining digital archives, and championing new digital solutions for efficiency and data protection.
Work Experience
A minimum of five years of relevant professional experience in programme or administrative assistance is required. Experience in a UN or international organization is an asset.
