Job Purpose
Under the supervision and guidance of the Operations Officer, the Administrative Associate is responsible for executing a broad variety of procedural and specialized administrative tasks for the respective section. This role requires in-depth knowledge of UNICEF administrative procedures, processes, and policies. The incumbent will manage key functions including procurement, communications, workflow, calendar and correspondence management, event logistics, travel arrangements, invoice processing, and supplies/equipment management. This position is crucial for ensuring the smooth and efficient operation of the section, directly contributing to UNICEF's mission of saving children's lives, defending their rights, and helping them fulfill their potential.
Responsibilities
The Administrative Associate will support the Operations Officer by executing a wide range of administrative tasks. Key responsibilities include managing procurement processes, ensuring timely and compliant acquisition of goods and services. They will handle communications and workflow, facilitating the smooth exchange of information within the section and with external stakeholders. Calendar and correspondence management will involve scheduling meetings, preparing agendas, taking minutes, and handling official communications. The role also encompasses event and logistics support, including the organization of meetings, workshops, and other events. Travel management will involve coordinating travel arrangements for staff and consultants, including visa processing and travel authorizations. Invoice processing will require careful verification and submission of invoices for payment. Additionally, the associate will manage supplies and equipment, ensuring adequate stock levels and proper inventory management. Attendance tracking and reporting will also be part of the duties. This role demands a proactive approach to problem-solving and a commitment to maintaining high standards of administrative efficiency.
Work Experience
A minimum of 6 years of relevant administrative or clerical work experience is required. Experience with Vision, travel management systems, consultant contracting, and procurement processes is an asset.
