Job Purpose
The Travel Assistant (GS-5) at UNICEF's Global Shared Services Centre in Budapest will be responsible for processing and managing travel requests for UNICEF offices globally. The role requires strict adherence to UNICEF's Travel policies, involving the posting of travel authorizations, verification of itineraries and ticket costs, and processing travel claims for final settlement. Responsibilities
The Travel Assistant will perform comprehensive travel administration duties, including processing various types of travel requests such as official missions, appointments, reassignments, separations, home leave, family visits, and education grant travels for UNICEF offices globally. This involves accurately posting travel authorizations and meticulously verifying itineraries and ticket costs to ensure compliance with UNICEF's travel policies and cost-effectiveness. A key responsibility is the examination and processing of travel claims, ensuring all documentation is complete and accurate before final settlement. The role also encompasses transactional service management, providing pre-processing support, and delivering excellent client service to UNICEF offices. The incumbent may be required to work in shifts from Sunday through Friday, with potential for night differential, compensatory time-off for holidays, and flexible arrangements including partial remote work depending on shift schedules.
Work Experience
A minimum of five years of relevant work experience in the international travel industry, operations, administration, or logistics is required. A completed Bachelor's degree can count as three years of experience. Candidates with a Bachelor's degree in relevant fields need a minimum of two years of experience. A Master's degree is considered additional relevant experience. Experience in travel administration or management is essential, along with IT proficiency and working knowledge of Microsoft Suite (Word, Excel, PowerPoint).
