Job Purpose
The Contracts Assistant, GS-5 at UNICEF's Global Shared Services Centre (GSSC) in Budapest will provide essential transactional and administrative support for the post-contracting cycle of individual consultants. This role involves close collaboration with contracting managers globally, ensuring adherence to Division of People and Culture (DPC) Individual Consultant Procedures and guidance. The primary focus is on processing contract amendment requests, diligently monitoring and following up on expired contracts for timely closure, and managing the overall contract closure process. The position demands accurate and efficient delivery of services in line with GSSC's service level agreements (SLAs), contributing to the smooth operation of consultant contracting services and supporting UNICEF's mission to serve children worldwide.
Responsibilities
The Contracts Assistant, GS-5 will be responsible for supporting the post-contracting lifecycle management of individual consultants. This includes daily case processing, ensuring the quality and accuracy of all transactions related to contract amendments, monitoring, and closures. The role requires proactive client service and collaboration with contracting managers in various UNICEF offices, providing guidance on procedures and compliance to ensure efficient contract management. A key aspect of the role involves knowledge management, contributing to the upkeep of procedural documentation and best practices. The assistant will actively engage in the contract closure process, ensuring all necessary steps are completed accurately and within established timelines. All activities must be performed in strict accordance with UNICEF's Division of People and Culture (DPC) Individual Consultant Procedures and guidance, maintaining high standards of service delivery aligned with GSSC's service level agreements (SLAs). The position may involve shift work, including Sundays and potentially Fridays as part of the work week, with compensation for official holidays through Compensatory Time Off (CTO) and applicable night differentials.
Work Experience
A minimum of five (5) years of relevant work experience in administration, human resources, or finance is required. A completed Bachelor's degree can substitute for three years of experience. Candidates with a Bachelor's degree need a minimum of two years of relevant experience. A Master's degree counts as an additional two years of experience. Experience in a shared services center context is an asset.
