Job Purpose
UNICEF’s Asia Pacific Regional Office (APRO) supports 22 Country Offices to deliver results for children in 36 countries and territories. This position serves as the administrative focal point for a section outside the core administration team. The Administrative Associate provides specialized and procedural support across budget monitoring, procurement, travel, and logistics. The role ensures timely and accurate execution of administrative tasks, enabling other teams to focus on delivering results for children. The Administrative Associate will be responsible for a range of administrative duties to support the efficient functioning of the office, ensuring compliance with UNICEF's policies and procedures.
Responsibilities
Key responsibilities include: Monitoring budgets and financial expenditures; Supporting office planning and project management; Facilitating procurement and contract processing; Managing communications, meetings, and correspondence; Organizing events and logistical arrangements; Providing travel assistance and maintaining travel records; Processing invoices and maintaining supply inventories; Supporting general office operations. The role requires close collaboration with various teams to ensure seamless administrative support. This includes managing correspondence, scheduling meetings, preparing documents, and maintaining records. The incumbent will also be responsible for assisting with travel arrangements, processing payments, and managing office supplies. Ensuring the smooth day-to-day operations of the office is paramount, requiring proactive problem-solving and attention to detail.
Work Experience
A minimum of 6 years of relevant administrative or clerical work experience, including experience in financial administration and budget management, is required.
