Job Purpose
The Executive Assistant (GS-5) will provide comprehensive communications, operations, and administrative support to the Head of Office, ensuring the smooth execution of daily activities. This role involves managing communications, handling administrative tasks, and supporting operational functions. The Executive Assistant will act as a representative for the supervisor, initiating and resolving administrative requests to facilitate efficient office operations. This position is crucial for enhancing the overall effectiveness and productivity of the supervisor's office, contributing to the successful implementation of UNICEF's mandate in Mexico.
Responsibilities
Provide comprehensive administrative support to the Head of Office, including managing calendars, scheduling meetings, making travel arrangements, and preparing correspondence. Coordinate and manage communications, ensuring timely and accurate dissemination of information. Support operational activities by assisting with the preparation of reports, presentations, and other documents. Act as a liaison between the supervisor and other staff members, government officials, and external partners. Maintain and organize office records and files, ensuring confidentiality and accessibility. Assist in the preparation of budgets and financial reports as required. Monitor and follow up on action items and deadlines to ensure timely completion of tasks. Support the Executive Associate (GS-6) in various tasks and projects as needed. Contribute to a positive and efficient working environment within the office.
Work Experience
A minimum of five years of relevant administrative and secretarial experience is required. Experience in an international organization or UN system is an asset.
