The Senior Reporting Assistant will support the Reporting Officer or a more senior local staff member, depending on the office's structure. The role involves interacting with internal and external contacts, including partners and stakeholders, to gather information and monitor programme activities. Job Purpose
The Senior Reporting Assistant is responsible for fulfilling internal and external reporting requests, contributing to the accurate and timely dissemination of information regarding UNHCR's operations and programme activities. This role involves staying updated on operational developments, assisting in the preparation of various reports such as briefing notes, Sitreps, and Fact Sheets, and supporting media interactions. The incumbent will also manage information tracking systems, ensure proper electronic filing, and provide administrative support within the unit. A key aspect of the role is to facilitate communication and provide support during visits by foreign delegations and media, offering briefings and interpretation. The position requires close collaboration with colleagues to ensure standard data presentation and timely distribution of meeting minutes, while also contributing to donor reports and risk management.
Responsibilities
The Senior Reporting Assistant is tasked with staying informed about operational developments to assist in preparing briefing notes and reports. They will help consolidate data and prepare periodic reports, including Sitreps and Fact Sheets, as well as support preparations for media interviews and background briefings. Maintaining and updating relevant information tracking systems and adhering to electronic filing requirements are crucial. Administrative support for routine services and activities within the Unit is also expected. The role involves accompanying foreign delegations and media on visits to refugee sites, providing appropriate briefings, interpretation, and commentary. Collaboration with colleagues is essential for accurate and standard data presentation. The incumbent will prepare and distribute meeting minutes promptly and consolidate inputs for donor reports. Additionally, they will support the identification and management of risks, seeking opportunities that impact objectives, and ensuring risk-based decision-making within their functional area. Raising risks, issues, and concerns to a supervisor or relevant colleagues is also part of the responsibilities, along with performing other required duties.
Work Experience
2 years of relevant experience with a High School Diploma, or 1 year of relevant work experience with a Bachelor's degree or higher. Essential computer skills, including advanced Excel for data management, are required.
