Senior Registration Assistant
Organizational Context
The Senior Registration Assistant is part of the Registration team within UNHCR, supporting registration activities, reception, filing, and data management. The role involves counselling asylum seekers and refugees on registration procedures, rights, and entitlements, and liaising with protection staff and partners for timely referrals and assistance.
Job Purpose
The Senior Registration Assistant is responsible for supporting all activities related to UNHCR's registration processes for persons of concern (POC). This includes conducting registration interviews, providing essential information and counselling to asylum seekers and refugees regarding procedures, rights, and entitlements, and maintaining accurate records and data. The role is crucial in identifying individuals with specific needs and ensuring their timely referral for protection follow-up. Additionally, the incumbent collaborates with protection staff and partners to facilitate assistance and the provision of documentation, and may be involved in drafting reports and statistics related to registration activities. The position also requires acting as an interpreter and translator when necessary, and referring cases to appropriate units or partners.
Responsibilities
Assist in the implementation of registration strategies and methodologies for persons of concern (POC). Conduct registration interviews in accordance with established standards and guidance. Provide counselling and respond to queries from asylum seekers and refugees concerning UNHCR's registration procedures, their rights, and entitlements. Maintain accurate and up-to-date records and data for all individual registration cases. Identify individuals with specific needs and ensure their timely referral for protection follow-up. Collaborate with protection staff and/or partners in delivering assistance and programming, including the provision of identity and entitlement documentation. Draft correspondence and reports related to registration activities within the Operation as required. Provide statistics and draft reports related to registration data upon request. Act as an interpreter and translator when needed. Refer cases to other units within the office and to implementing partners as necessary. Draft and submit reports and statistics pertaining to registration. Support the identification and management of risks and seek opportunities impacting the area of responsibility, ensuring risk-based decision-making. Raise risks, issues, and concerns to a supervisor or relevant colleagues. Perform other related duties as required.
Work Experience
2 years of relevant experience with a High School Diploma, or 1 year of relevant experience with a Bachelor's degree or equivalent. Experience in data management is essential.
