Registration Associate
Organizational Context
The Registration Associate is part of the Registration team, supervised by the Registration Officer. This role is crucial for supporting registration activities, ensuring it effectively identifies protection needs, manages operations, and contributes to durable solutions. The position may involve supervising registration staff and monitoring the quality of registration processes and data management.
Job Purpose
The Registration Associate is responsible for supporting all activities related to registration, ensuring its effective use for identifying specific protection needs, managing operations, and achieving durable solutions. This role involves collaborating closely with Protection, Programme, Operational Data Management, and Information Management colleagues, as well as government authorities and partners, to provide quality population data for registration activities. The Associate may provide day-to-day supervision and support to UNHCR staff engaged in registration and related activities, monitoring the efficiency and quality of registration processes, identity and entitlement documentation, and population data management. The position also entails managing complex cases, conducting registration interviews, responding to queries from asylum seekers and refugees, maintaining accurate records, identifying persons with specific needs for referral, and drafting correspondence and reports related to registration activities.
Responsibilities
Assist in the implementation of registration strategies and methodologies for populations of concern. Conduct registration interviews in accordance with registration standards and guidance. Provide counselling and respond to queries from asylum seekers and refugees regarding UNHCR's registration procedures and their rights and entitlements. Maintain accurate and up-to-date records and data related to all registration cases. Identify persons with specific needs and ensure timely referral to protection follow-up. Collaborate with protection staff and/or partners in the delivery of assistance and programming, including provision of identity and entitlement documentation. Draft correspondence and reports relating to registration activities. Provide statistics and draft reports related to registration data. Make decisions related to the day-to-day operations of the registration unit and devise registration procedures which are efficient and effective. Draft and submit reports and statistics related to registration. Support the identification and management of risks and seek to seize opportunities impacting objectives in the area of responsibility. Ensure decision making in risk based in the functional area of work. Raise risks, issues and concerns to a supervisor or to relevant functional colleague(s). Perform other related duties as required. Manage complex cases, including those requiring litigation interviews, and help resolve identity and documentation issues. Support staff supervision, data quality control, and the improvement of registration tools and procedures, while upholding data protection standards, fraud mitigation and promoting access to services for forcibly displaced and stateless persons.
Work Experience
3 years of relevant experience with a High School Diploma, or 2 years of relevant experience with a Bachelor's degree or higher. Experience in data management is essential. Training in basic principles of international protection and experience with UNHCR proGres software are desirable.
