Organizational Context
The CBI Assistant operates under the supervision of a CBI, Programme, or Field staff member at a higher grade. This role involves performing various functions related to cash assistance activities within the office, maintaining relationships with other UNHCR units, and potentially liaising with operational partners and contractors.
Job Purpose
The CBI Assistant's primary purpose is to support the effective implementation of Cash-Based Interventions (CBIs) by assisting in the maintenance of payment records, monitoring systems, and reconciliation of expenditures. This role involves generating reports, monitoring the delivery of assistance, and managing data related to cash assistance. The incumbent will also be responsible for ensuring proper filing and record-keeping, preparing briefing materials, and assisting in data collection and reporting activities. Additionally, the position requires liaising with persons of concern (POC), beneficiaries, and partners, and escalating incidents or problems to the supervisor when necessary. The role also involves supporting risk management by identifying and managing risks impacting objectives and seizing opportunities within the area of responsibility.
Responsibilities
Assist in maintaining CBI payment records and monitoring systems to accurately record and reconcile expenditures, balances, payments, statements, and other data for daily transactions and reports. Support the preparation of recurring reports as scheduled and ad-hoc special reports as required by the supervisor. Monitor the implementation of UNHCR's Cash-Based Interventions (CBIs), ensuring the timely delivery of all assistance items, overseeing infrastructure, and confirming the completion of home visits. Export and manage data related to cash assistance delivery to generate comprehensive reports. Ensure the proper filing and meticulous record-keeping of all relevant documents and information. Prepare background materials, working papers, and tables to facilitate briefing and review sessions. Assist in crucial data collection and reporting activities. Draft routine correspondence to stakeholders. Liaise effectively with persons of concern (POC), assistance beneficiaries, and operational partners. Escalate direct incidents and unresolved problems to the supervisor promptly. Support the identification and management of risks impacting the area of responsibility, seeking to seize opportunities and ensuring risk-based decision-making. Raise risks, issues, and concerns to a supervisor or relevant colleagues.
