Organizational Context
The Registration Assistant is part of the registration team, supervised by a senior colleague reporting to the Registration Officer. The role supports registration activities, reception, filing, and data management. The incumbent responds to queries from asylum seekers and refugees about UNHCR procedures, rights, and entitlements, liaising with protection staff and partners for referrals and potentially providing interpretation/translation services.
Job Purpose
The Registration Assistant's primary purpose is to support all registration-related activities within UNHCR's operations. This involves conducting registration interviews according to established Standard Operating Procedures (SOPs) and registration standards, ensuring accurate and up-to-date record-keeping for all individual cases. A key aspect of the role is responding to inquiries from asylum seekers and refugees, clarifying UNHCR's registration processes, and informing them about their rights and entitlements. The assistant must also identify individuals with specific needs and ensure they are promptly referred for necessary protection follow-up. Collaboration with protection staff and implementing partners is crucial for delivering assistance and programming, including the issuance of identity and entitlement documentation. Furthermore, the role may involve providing interpretation and translation services when required, and referring cases to other internal units or external partners as needed.
Responsibilities
The Registration Assistant is responsible for conducting registration interviews in strict adherence to local SOPs and UNHCR's registration standards. They must accurately maintain and update all records and data pertaining to individual registration cases, ensuring data integrity. A critical function is identifying asylum seekers and refugees with specific needs and facilitating their timely referral for protection follow-up. The assistant will collaborate closely with protection staff and implementing partners to support the delivery of assistance and programming, which includes the provision of identity and entitlement documentation. In situations requiring it, the incumbent will act as an interpreter and translator. Referrals of cases to other relevant units within the office or to implementing partners will be made as necessary. The role also entails supporting the identification and management of risks and seeking opportunities that may impact the objectives within their area of responsibility, ensuring risk-based decision-making. They are expected to raise any identified risks, issues, or concerns to their supervisor or relevant colleagues. Finally, the Registration Assistant will perform other related duties as assigned to ensure the smooth operation of registration services.
