Communications Assistant
Organizational Context
The Communications Assistant will report to the Communications Officer, with regular internal contacts for information exchange and limited external contacts on routine matters. All UNHCR staff are accountable for their duties, adhering to UNHCR's policies, regulations, and core values of professionalism, integrity, and respect for diversity.
Job Purpose
The Communications Assistant supports the Communications Officer in managing and disseminating public information. This role involves collecting and compiling relevant press-cuttings, maintaining mailing lists for press releases, and ensuring timely distribution of information to media and other stakeholders. The assistant is responsible for classifying and managing public information materials, promoting merchandise sales, and maintaining an updated catalogue of materials. They also provide clerical support for public information events, respond to routine inquiries from various sources, and maintain up-to-date PI files. Access to UNHCR's communication systems is required, along with supporting risk management and identifying opportunities impacting the area of responsibility.
Responsibilities
The Communications Assistant is tasked with collecting press-cuttings from national, regional, and international periodicals concerning refugee issues and UNHCR's work. They will compile and maintain mailing lists for press releases and information bulletins, ensuring prompt dispatch to media and interested parties. A key responsibility is classifying and managing the stock of Public Information (PI) materials, promoting merchandise sales where appropriate, and maintaining a monthly report on sales and stocks for Headquarters. The assistant will provide clerical support for PI events like poster campaigns and exhibitions, and respond to routine telephone and written inquiries from media, the public, NGOs, and government officials. Maintaining PI files and having access to UNHCR's communication systems are also essential duties. Furthermore, the role involves supporting the identification and management of risks, seizing opportunities that impact the area of responsibility, and ensuring risk-based decision-making. Other related duties as required will also be performed.
Work Experience
One year of relevant experience is required for candidates with a High School Diploma. Experience in communication and computer literacy is essential. Experience with drafting, translation, and interpretation is also considered relevant.
