Job Purpose
The Procurement and Logistics Associate is responsible for executing and coordinating procurement and logistics activities to ensure the uninterrupted supply of reproductive health commodities and other essential goods and services. This includes managing the entire procurement cycle from preparing solicitations (RFQs, ITBs, RFPs), evaluating bids, and negotiating with suppliers to issuing Purchase Orders via UNFPA's ERP system. The role also involves supporting procurement planning, order tracking, and facilitating the distribution of commodities, including customs clearance and transportation. Additionally, the associate provides administrative support for programme activities and ensures compliance with organizational policies and procedures.
Responsibilities
The Procurement and Logistics Associate manages procurement activities, including preparing RFQs, ITBs, and RFPs, evaluating bids, and negotiating with suppliers to ensure cost-effectiveness. They process and issue Purchase Orders using UNFPA's ERP system, ensuring compliance with guidelines. The role supports the uninterrupted supply of reproductive health commodities by assisting with data analysis, preparing reports on stock positions, and facilitating distribution plans. This includes managing customs clearance and transportation. The associate also provides capacity development support in supply chain management, facilitates trainings on Logistics Management Information Systems (LMIS), and supports the introduction of inventory control systems. Furthermore, they provide administrative support by preparing and archiving official documents, coordinating logistical support for programme activities and missions, and drafting correspondence.
Work Experience
A minimum of 6 years of progressively responsible experience in procurement, logistics, or supply chain management, preferably within the public or health sector, is required. Experience supporting procurement and supply management processes, including vendor coordination and delivery tracking, is essential. Working knowledge of supply chain operations, basic forecasting, inventory management, warehousing, and distribution is necessary. Familiarity with organizational policies, procedures, and enterprise systems related to procurement and logistics is also required.
Skills
Proficiency in standard office software applications (e.g., MS Office suite) is required. Strong drafting, minute-taking, and documentation skills are essential. The role requires the ability to manage records, maintain confidentiality, and handle information with discretion. Core competencies include achieving results, accountability, developing professional expertise, analytical and strategic thinking, and teamwork. Functional competencies involve advocacy, building strategic alliances, delivering results-based programmes, and internal/external communication.
