Organizational Context

The consultant will support the Supply Chain Solutions (SCS) Team within UNFPA's self-funded Supply Chain Management Unit (SCMU) in Copenhagen. Reporting to the UNFPA Supply Chain Solutions and Relations Analyst, the role involves collaborating with external partners like governments and NGOs, and internal teams. UNFPA's mandate focuses on reproductive health, gender equality, and population dynamics, aiming to achieve the ICPD Programme of Action and SDGs.

Job Purpose

The consultant will provide crucial support to the Supply Chain Solutions Team, ensuring the transparent and efficient execution of procurement and supply chain services for UNFPA's external partners. This role is integral to strengthening the capacity of governments and implementing partners in managing supply chains for life-saving reproductive health products and programme supplies. By facilitating effective procurement processes, the consultant contributes to UNFPA's mission of ensuring these essential items reach end-users when and where needed, thereby supporting the organization's strategic plan and the achievement of global development goals.

Responsibilities

The role involves administering and coordinating procurement and supply chain services for external partners, guiding them through UNFPA's policies from request to completion. Key duties include preparing Pro-forma Invoices, processing purchase orders in the ERP system, monitoring shipments, and handling shipping documents. The consultant will also process invoice payments, close purchase orders, reconcile financial documents, and submit final invoices. Operational support includes clearly communicating supply chain information to partners, maintaining Customer Relationship Management systems and databases, and assisting with the StoreFront Third-Party Procurement project. Additional responsibilities include supporting report issuance and undertaking other duties as assigned by the Team Lead.

Work Experience

A minimum of six years of experience in international procurement, logistics, or supply chain operations within a large international organization is required. Experience with pharmaceutical supply chains, public procurement regulations, and familiarity with UNFPA or UN agency operations are strong assets. Knowledge of Oracle ERP, Order Management Systems, and import compliance for medical devices is advantageous.
