Job Purpose
The Logistics Assistant supports the effective management of UNFPA Senegal's programme activities, focusing on procurement and administration. With a strong understanding of UNFPA's administrative rules and processes, the role ensures a client-oriented and results-focused approach to interpreting guidelines. The incumbent acts in a support capacity to programme and project staff, aiming to maximize the impact of travel and logistical services to enhance the delivery of programmes and projects within the country office.
Responsibilities
The Logistics Assistant ensures full compliance of logistics activities with UNFPA's rules, regulations, policies, and strategies. This includes providing support for the Country Office's travel, logistics, and operations business processes, and implementing internal standard operating procedures. The role supports the preparation and execution of CO procurement plans, and provides travel and logistics assistance for conferences, workshops, and retreats. Responsibilities also encompass supporting procurement processing, inventories, and vendor performance appraisals. The assistant aids in procurement processes, including preparing RFQ drafts, conducting local shopping, and processing purchase orders. Additionally, the role involves creating and modifying supplier IDs in Atlas, supporting the Shipment Tracker, acting as backup for the Procurement Associate, and assisting with CO asset management.
Work Experience
Requires five years of relevant experience in administrative, logistics, or office management. Proficiency in current office software applications and ERP financial systems is an asset. The ability to multitask and resolve operational problems is essential. Prior UN experience is desirable.
