Organizational Context
The United Nations Population Fund (UNFPA) is the UN's sexual and reproductive health agency, committed to a world where every pregnancy is wanted, every childbirth is safe, and every young person's potential is fulfilled. This consultancy role is based in Kinshasa, Democratic Republic of the Congo, supporting the Sexual and Reproductive Health (SRH) Unit.
Job Purpose
This consultancy aims to strengthen the efficiency of the SRH Unit's coordination, planning, and administrative/operational management. The consultant will support the management of internal and external correspondence, coordinate logistics and administration for meetings, workshops, and missions, and assist in the preparation, consolidation, and monitoring of Annual Work Plans (AWPs) and Transaction Forms (TFs). The role ensures adherence to institutional procedures, deadlines, and partner requirements, contributing to the effective implementation of SRH programs under the guidance of programme officers.
Responsibilities
The consultant will provide support in managing program correspondence and documentation, including drafting, formatting, and finalizing administrative correspondence, notes, and reports. They will manage incoming and outgoing correspondence, prepare correspondence files, and maintain a reliable physical and electronic filing system for program documents, ensuring secure storage and timely access. Additionally, the consultant will support the administrative management of AWPs, coordinate appointments and meetings, and organize the logistics and administration for various events. This includes preparing meeting dossiers, drafting agendas, taking notes, and writing minutes. The role also involves maintaining an updated database of institutional contacts and preparing/validating internal memorandums and administrative documents.
Work Experience
A minimum of five years of experience in administrative and operational support for development programs is required. Experience within a United Nations agency or international organization is a significant asset. Experience in organizing workshops, missions, and meetings is also necessary. Familiarity with administrative and financial procedures is expected.
Skills
Excellent organizational skills, a high sense of confidentiality, and the ability to manage multiple priorities are essential. Proficiency in Microsoft Office Suite is required, along with good knowledge of Quantum or similar ERP systems. Teamwork, excellent interpersonal skills, initiative, results-orientation, and strong analytical and problem-solving abilities are also key competencies.
