Job Purpose
The Administrative Assistant will provide essential administrative, logistical, and financial support for the "Cuidado" agreement between UNFPA and the "Fondo de Igualdad." This role is crucial for ensuring the timely and effective execution of project activities, operations, processes, and deliverables. By managing project workflows, budgets, and documentation, the assistant contributes directly to the successful implementation of the agreement and the achievement of its objectives. The position supports the Gender, Rights, and Interculturality Area, ensuring alignment with UNFPA's strategic priorities and mandate in Colombia.
Responsibilities
Develop and coordinate a work plan to meet the objectives and expected results of the agreement. Support the coordination of the agreement, manage the project budget, and conduct periodic financial analyses and balances according to UNFPA and "Fondo de Igualdad" standards. Prepare regular reports, financial analyses, and management reports for project monitoring and accountability. Review project operational and procedural needs, and attend relevant administrative meetings, reporting outcomes to the project coordinator. Facilitate financial and administrative management processes according to UNFPA protocols. Generate administrative and financial management reports and prepare accounting and financial reports for technical committee sessions. Train project staff on procedures and provide necessary documentation for activity legalization, including payments to contractors. Design and implement monitoring tools for technical and financial execution. Maintain project documentation archives, both physical and digital, ensuring confidentiality. Provide logistical support for meetings and events, and assist the project coordination in all aspects of project execution. Offer transversal support to the Gender, Rights, and Interculturality Area in managing activities related to the agreement.
Work Experience
Minimum of 5 years of relevant work experience in administrative roles, preferably in social projects. Experience in managing administrative processes, contracting, procurement, archiving, document management, and correspondence control. Experience in organizing and coordinating logistics for meetings, workshops, events, and travel. Experience in monitoring work plans, schedules, budgets, and activity execution, including report preparation.
Skills
Excellent Spanish language proficiency and good command of English. Experience with Google Workspace and data analysis tools like Looker Studio and Power BI. Strong analytical and communication skills, initiative, flexibility, and time management. Ability to work effectively with institutions and incorporate differential and intersectional approaches in social projects.
