Organizational Context
The Administrative/Finance Associate is a key member of the South Sudan Country Office operations team, delivering high-quality financial and administrative services. The role supports the CO and UNFPA-supported projects to ensure seamless delivery of the ICPD agenda, aligning with the UNFPA Strategic Plan 2026-2029 which prioritizes transformative results and demographic resilience.
Job Purpose
The Administrative/Finance Associate is integral to the South Sudan Country Office operations, providing essential financial and administrative services to both internal and external clients. This role requires a thorough understanding of UN/UNFPA rules and procedures, applying a client-oriented and results-focused approach to interpreting regulations. The position directly supports the Country Office and UNFPA-funded projects, ensuring the effective and efficient delivery of the International Conference on Population and Development (ICPD) agenda and contributing to the achievement of the SDGs.
Responsibilities
The role encompasses comprehensive financial management, including monitoring programme performance, analyzing implementation rates, and proposing actions for expenditure variances. It involves assisting in budget formulation, controlling allotments, and managing expenditures. The Associate will maintain financial recording systems, internal controls, and process transactions in the ERP system. Administrative duties include ensuring compliance with UNFPA rules, managing procurement and travel, reviewing common service charges, and maintaining asset records. The position also supports office maintenance, work planning, records management, and provides guidance to administrative staff.
Work Experience
Requires a minimum of 6 years of relevant experience in administration, finance, or office management, with proven experience in budget monitoring and financial reporting. Proficiency in MS Office and experience with ERP systems (e.g., Quantum) are essential. Prior experience within the UN system or an international NGO is advantageous.
