NATIONAL POST: Programme Assistant, G-5, Dili, Timor-Leste
Organizational Context
The Programme Assistant position is based in the UNFPA Country Office in Timor-Leste, supporting the Programmes Unit. This unit provides crucial programme and technical support, aligning with UNFPA's strategy to ensure every pregnancy is wanted, every childbirth is safe, and every young person's potential is fulfilled. The role contributes to the smooth functioning of technical and operational processes within the country office.
Job Purpose
The Programme Assistant serves as a key link between programme and technical teams, facilitating informed decision-making and maximizing impact through data management and coordination. This role supports the creation of substantive knowledge by compiling, synthesizing, and analyzing information relevant to population and development, reproductive health, and gender issues. By maintaining collaborative relationships with all programme and project staff, the assistant ensures the effective execution of UNFPA's mission in Timor-Leste, contributing to tangible improvements in people's lives.
Responsibilities
The Programme Assistant provides comprehensive support to the Country Office Programme Team, including assisting with work plans, budgets, and proposals, and performing data entry and updates in the UNFPA ERP system. Responsibilities include monitoring programme activities and expenditures, collecting and analyzing data for reporting, and preparing draft reports and presentations. The role also involves facilitating communication with implementing partners and government counterparts, maintaining accurate programme files, and providing logistical support for programme events. Additionally, the assistant conducts research, summarizes information for reports, and contributes to knowledge management by maintaining electronic mailing lists and assisting with information uploads. Operational support includes processing financial transactions, reviewing correspondence, and supporting procurement activities for programme events.
Work Experience
Five years of relevant experience in social sector/programme development is an asset. Experience with results-based management, asset and financial management is beneficial. Proficiency in current office software applications and corporate IT systems is required.
